Copy preparers and Proofreaders

Copy Preparation and Proofreading officers provide publishing services in all six official languages to various UN departments. These services consist of electronic copy preparation, layout/desktop publishing, proofreading and PDF creation for black and white and colour publications, public information materials and archival documents.

Their electronic copy-preparation responsibilities include the preparation of electronic templates, style sheets and job specifications as well as the manipulation of images, graphics, text and tables, in accordance with UN typographical and editorial standards.

Layout/desktop publishing duties comprise various file format conversions, placement of the “cleaned up” files into the appropriate application, and formatting according to the typographical specifications provided by copy preparers. At this stage all required adjustments in page layout and design are made, including the justification of pages, balancing of columns colour consistency. As a result of the layout process, a set of proofs is prepared.

The proofreading tasks involve the reading of the set of page proofs against the original manuscript in order to ensure that the printed version is an accurate transcription of the file supplied. Proofreaders mark on proofs their corrections of spelling, grammar, style and typography and verify concordance of text with other language versions. After a thorough pre-press pre-flight, a fully searchable PDF file is produced, ready for commercial printing via computer-to-plate technology (CTP) and/or uploading to the UN Official Document System or the Internet.

Language Requirements: French, Russian and Spanish proofreaders/production editors must have perfect command of the language of the unit, which must be their main language, and  excellent knowledge of English and another official United Nations Language. Arabic and Chinese proofreaders/production editors must have perfect command of the language of the unit, which must be their main language, and excellent knowledge of English.  Knowledge of another official United Nations language is desirable. English proofreaders/production editors must have perfect command of English, which must be their main language, and excellent knowledge of two other official United Nations languages, one of which must be French.
