Duties and Responsibilities

Under the direct supervision of the Programme Officer, the incumbent has the following responsibilities:
1. Assists in the preparation and organization of meetings, including regional meetings for the conferences of the Parties in 2019; prepares invitations and confirmation letters to meeting participants; drafts responses to queries and requests from participants regarding details/information of the meetings; receives and screens registration forms and follows up with nominating Parties on outstanding documentation.
2. Prepares lists of participants and DSA rosters; checks eligibility of participants for financial support; liaises with local organizers about participants’ receiving financial support.
3. Provides secretarial, administrative and logistics support to meetings, including regional meetings and meetings of the conferences of the Parties; supports logistical arrangements for meetings; liaises with local organizers about logistical arrangements.
4. Assists in the preparation, production and distribution of meeting documents; handles arrangement for printing; coordinates shipment arrangements, courier services, etc.
5. Assists in the maintenance of websites by scanning, converting and posting a variety of documents onto the site.
6. Researches, compiles and organizes information and reference materials from various sources for reports, work plans, studies, briefings, meetings/conferences, etc.
7. Produces a wide variety of documents and reports; proofreads documents and edits texts for accuracy, grammar, punctuation, style, and adherence to formatting standards.
8. Responds or drafts responses to routine correspondence and other communications; responds to information requests and inquiries and refers issues to appropriate staff member for handling.
9. Generates a variety of standard statistical and other reports using various databases; updates and maintains distribution lists.
10. Performs other duties as assigned.

Qualifications/special skills

Academic Qualifications: High school diploma or equivalent is required. Additional formal training in office tools such as word processors and spreadsheets desktop applications is an asset.
Experience: A minimum of three (3) years of work experience in the area of general office support, including drafting of letters, editing and formatting of documents, data entry and extraction, tracking large number of correspondence and correspondence with meeting participants.
Language: English and French are the working languages of the United Nations Secretariat. For this post, fluency in oral and written English is required. Working knowledge of another UN language is an advantage.
