Org. Setting and Reporting

This position is located in the United Nations Health Care Center (UNHCC) of the Division of Administration. The incumbent will report to the Head Nurse of UNHCC.

Responsibilities

Responsibilities: Within limits of delegated authority and depending on location, Team Assistants at this level may be responsible for the following duties:

•Accept clients in a friendly and polite manner;

•Receive telephone calls courteously;

•Listen to their demands promptly and appropriately;

•Pass information accurately and precisely to the concerned;

•Give appointments according to schedule of doctors;

•Notify change of schedule well in advance to the clients;

•Treat clients without partiality with the exception of priority to urgent cases;

•Pass information to and from within the units;

•Direct users to the various sections;

•Receive and transmit information on the notice board regarding physicians’ absenteeism and replacement, change of schedule and emergency situations;

•Keep the reception area clean and tidy and maintain the art exhibitions activities;

•Verify the accuracy of patient records in the EarthMed system before making any booking;

•Add service charges (nurses, and pharmacy) and fee for all the specialists (Gp, ENT, Pediatrics, Dentist, Gastro internalogist, Radiologist, Opthalmologies);

• Communicate with head nurse on absence and tiredness of the consultants and other UNHCC Staffs;

•Be part of an emergencies response by communicating with the drivers and other members of the responding team;

•Make sure that patients’ files are given to the concerned doctors and returned back to the records unit;

•Performs other duties as assigned.

Work implies frequent interaction with the following:
Staff in related organizational units across the institution.
Patients, Visitors and representatives from Permanent Missions, UN Common System and other international organizations, NGOs, etc.

Monitors ongoing developments inside and outside the clients’ environment to keep informed and anticipate problems. Keeps clients informed of progress or setbacks in projects. Meets timeline for delivery of products or services to client.

Education

High school diploma or equivalent is required. Must have passed the United Nations Global General Service Test (GGST) administered by Headquarters.

Work Experience

Four years’ experience in client service required. Minimum of two years on reception of guests and general office support or related area is desirable.

Languages

Fluency in one of the working languages of the United Nations Secretariat, English or French, is required; knowledge of the other is desirable. Knowledge of another United Nations official language is an advantage. For the position advertised, fluency in oral and written English is required.

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by a competency-based interview.

Special Notice

This job opening is only open to the staff members of the United Nations Secretariat who (1) serve in the duty station specified in the job opening; (2) hold a permanent, continuing or fixed-term appointment; and (3) have been appointed following the review of the Central Review Panel, or upon meeting other regular requirements for the duty station, job level and category and functional area. Staff members holding an appointment limited to service to a specific entity are not eligible to be considered if this position is outside that entity. Staff members holding a temporary appointment are not eligible for consideration.

Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Service category in the United Nations Secretariat.

Having passed the Administrative Assessment Support Test (ASAT) in English at Headquarters, ECA, ESCWA, UNOG, UNOV, ICTR, or ICTY may be recognized in place of
the GGST, pending confirmation of validity.

External candidates will be responsible for any travel expenses incurred in order to take the GGST examination and, in the event of an employment offer, any cost related to travel and relocation to the duty station on appointment and separation. The candidate will also be responsible to obtain any visas and work permits in order to take up the appointment. If selected, external candidates will be recruited on a local basis and would not be entitled to international benefits.
