Cadre organisationnel

The United Nations Environment Programme (UN Environment) is the leading global environmental authority that sets the global environmental agenda, promotes the coherent implementation of the environmental dimension of sustainable development within the United Nations system and serves as an authoritative advocate for the global environment. This position is located in the UN Environment, Secretariat for the Minamata Convention on Mercury, at the Geneva duty station.

Responsabilités

Under the overall supervision of the Executive Secretary, and the direct supervision of the Senior Policy Coordination Officer (P5) or the Programme Officer (P4), the incumbent isresponsible for a wide range of office support and administrative functions, including to provide travel and logistics support to meetings, and overall document management support.
1. Assists the secretariat by performing a wide range of office support and administrative functions, such as:
a) Responds or drafts responses to routine correspondence and other communications; uses standard word processing package to produce a wide variety of large, complex documents and reports.
b) Monitors processes and schedules related the secretariat’s outputs, products, tasks, etc.; where applicable, assists in the verification of receipt and accuracy of requisite documents, approvals, signatures, etc. to ensure compliance with relevant legal, financial and other requirements.
c) Researches, compiles and organizes information and reference materials from various sources for reports, work plans, studies, briefings, meetings or conferences.
d) Generates a variety of standard statistical and other reports, work orders, etc., using various databases.
e) Proofreads documents and edits texts for accuracy, grammar, punctuation and style, and for adherence to established standards for format.
f) Screens phone calls and visitors; responds to moderately complex information requests and inquiries (e.g. answers requests requiring file search, etc.), and as necessary, refers inquiries to appropriate personnel for handling.
g) Assists in the preparation of presentation materials using appropriate technology/software.
h) Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate staff inside and outside the immediate work unit.
i) Performs data entry and extraction functions.
j) Reviews, records, distributes and/or processes mail and other documents; follows-up on impending actions.
k) Performs general administrative tasks (e.g. leave and attendance recording, arrangements for meetings and other events, reservations, budget follow-up, etc.), to include preparing and/or processing administrative requests/documents (e.g. requisitions, purchase orders, travel requests, contracts, expenditure authorizations, visa applications, etc.).
l) Provides guidance to less experienced staff on general office processes and procedures, computer applications, etc.
2. Provides secretarial, administrative, travel and logistics support to all meetings, boards, committees, conferences, etc arranged by the secretariat.
3. Provides document management support, such as:
a) Maintains files (both paper and electronic) and databases for the secretariat.
b) Updates and maintains large distribution lists; monitors, prepares and distributes various materials, reports, where possible using electronic formats; handles arrangement for printing and translation as necessary; coordinates shipment arrangements, courier services, etc.
c) Assists in the maintenance of websites by scanning, converting and posting a variety of documents onto the site.
d) Assists in providing software and office equipment support.
4. Performs other duties as assigned.

Formation

High school diploma or equivalent. Must have passed the United Nations Administrative Support Assessment Test (ASAT) at Headquarters or an equivalent locally-administered test at Offices Away from Headquarters.

Expérience professionnelle

A minimum of four years of experience in administrative services, e.g. secretariat clerical, finance, accounting, human resources is required. Proficiency in Microsoft applications is required. Work experience with electronic, administrative and business processes systems in an international organization or the United Nations (e.g. SAP/Umoja) is highly desirable.

Connaissances linguistiques

English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is an advantage.
