Duties and Responsibilities

The United Nations Environment Programme (UNEP) is the United Nations systems designated entity for addressing environmental issues at the global and regional level. Its mandate is to coordinate the development of environmental policy consensus by keeping the global environment under review and bringing emerging issues to the attention of governments and the international community for action.

The Geneva Environment Network (GEN) is a cooperative partnership of over 75 environment and sustainable development organizations and secretariats based in the International Environment House and elsewhere in the Geneva area, including United Nations offices and programmes, academic institutions, local authorities and non-governmental organizations.

Set up in 1999, the GEN secretariat, led by the UN Environment Programme and supported by Switzerland, actively promotes increased cooperation and networking between its members by: organizing and hosting meetings on the environment and sustainable development, such as GEN Roundtables and international workshops, promoting the dissemination of information and public awareness of environmental issues, providing conference services to the Environment House, and maintaining the Geneva Green Guide.

Under the direct supervision of the Geneva Environment Network Coordinator, the incumbent will work part-time (50%) and perform the following tasks:

Conference servicing:
• Assist with meetings organization by overseeing logistics, preparing lists of participants;
• Provide secretarial assistance, liaising with logistical partners, preparing nameplates and making other arrangements for the organization of the various events;

Communication and Information management:
• Assist supervisor in launching and developing projects concerning Environmental Information and Public Awareness, by helping to organize outreach seminars and gathering of information and materials;
• Provide general office assistance; respond to information requests and inquiries; review, log and route incoming correspondence; set up and maintain files/records; handle routine administrative tasks;
• Assist with the preparation, editing and graphic design of various written documents;
• Support the regular updating and content development of the website;
• Assist in creation of content and identify relevant material to be posted on social media channels;
• Maintain the calendar of events;

Administration:
• Maintain stock inventory of information material;
• Develop and maintain files of the Unit;
• Perform other general office work;
• Support other activities as requested;

Qualifications/special skills

Competency: Strong computer skills (Microsoft Office, web applications etc.); Comfortable with the use of photo editing and graphic design software; Ability to work independently as well as in a team;
Ability to respond to tight deadlines in an organized and efficient manner
Academic Qualifications: High school diploma or equivalent.
Experience: Relevant experience in similar posts with administrative support. Experience with the UN is an asset.
Language: English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required as well as knowledge of French. Any other UN official language would be an asset.
