Org. Setting and Reporting

This position is located in the CBRN Team (Chemical, Biological, Radiological and Nuclear Programme) of the United Nations Interregional Crime and Justice Research Institute (UNICRI), in Turin, Italy. The incumbent will work under the direct supervision of the relevant Programme Officer.

Responsibilities

Within assigned authority, the incumbent will be responsible for administrative assistance in the implementation of projects, particularly:
• Perform a wide range of office support and administrative functions using the UN ERP system Umoja.
• Monitor the processes and the schedules related to the unit's outputs, tasks, and projects; assist in the verification of receipt and accuracy of requisite documents, approvals, and signatures to ensure compliance with relevant financial and budget requirements.
• Generate a variety of standard financial reports, as well as work orders, using various databases.
• Respond or draft responses to routine correspondence and other communications in English and Russian (principal languages of the involved counterparts); use standard word processing package to produce a wide variety of large, complex documents and reports.
• Perform general administrative tasks, such as reviewing IOVs, maintaining contacts with UNDP, preparing arrangements for meetings and other events, drafting Terms of Reference, preparing allotments and redeployments, managing grants, including preparing and/or processing administrative requests/documents (e.g. requisitions, travel requests, financial authorizations, etc.).
• Maintain files (both paper and electronic) and databases for work unit.
• Perform other work related duties as assigned.

Education

High school diploma or equivalent is required.

Work Experience

A minimum of three years of working experience in general office support or related area is required.
Experience providing administrative assistance to project implementation within an international organization is also required.
Experience with grants management processes is required.
Experience with the United Nations system or other international organization administrative and financial procedures is highly desirable.
Experience in working with the European Union (EU) funded programmes is also desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required. Excellent knowledge of Russian is highly desirable. Knowledge of Italian (local language) is an asset. Knowledge of another official United Nations language is an advantage.

Assessment

Evaluation of qualified candidates may include an assessment exercise and a competency-based interview.

Special Notice

This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules. All staff in the General Service and related categories shall be recruited in thecountry or within commuting distance of each office, irrespective of their nationality and of the length of time they may have been in the country. Other Skills and Requirements

Passing the Administrative Assessment Support Test (ASAT) in English at Headquarters, ECA, ESCWA, UNOG, UNOV, ICTR, or ICTY or the Global General Service Test (GGST) is a requirement for recruitment consideration in the General Service category in the United Nations Secretariat. The GGST is a proctored entry-level examination at the duty station. Any travel expenses incurred in order to take the examination are the responsibility of the candidate and will not be reimbursed by the Organization
