Result of Service

The ultimate result of the service will be to deliver the banking work stream’s contribution to UNEP FI’s work plan under UNEP´s Project 623.3 indicated below (section 1.4), i.e. to support UNEP FI’s member banks and the banking sector more widely in contributing to sustainable development worldwide. The result of the services will be used to successfully support the Programme Officers of RMB to ensure that projects are running smoothly assisting them from a financial and administrative perspective.

Duties and Responsibilities

The United Nations Environment Programme (UN Environment) is the United Nations system’s designated entity for addressing environmental issues at the global and regional level. Its mandate is to coordinate the development of environmental policy consensus by keeping the global environment under review and bringing emerging issues to the attention of governments and the international community for action.

Located within Economy Division, the Resources and Markets Branch examines how economics, trade and finance interact with the environment and contribute to sustainable development at the local, national, regional and global levels. Located in Geneva, it heads the Green Economy Initiative to assist countries in integrating environmental considerations into economic and trade policies.

The Green Growth Knowledge Platform (GGKP) is hosted by UN Environment, in partnership with the Global Green Growth Institute (GGGI). These organizations serve as the joint host of the GGKP Secretariat (www.greengrowthknowledge.org) on behalf of the GGKP founding organizations (UN Environment, GGGI, the Organization for Economic Co-operation and Development, and the World Bank). The GGKP is a global network of over 58 international organizations, research institutes, and think tanks focused on promoting a green economy transition by:

- identifying major knowledge gaps in green growth theory and practice and addressing these gaps through the promotion of collaboration and coordinated research; and

- using world-class knowledge management and communication tools to provide practitioners, policymakers, and other experts with opportunities to access, share, and utilize green growth policy analysis, guidance, information, and data.

The GGKP Secretariat organises the UN High-level Political Forum for Sustainable Development (HLPF) for Fast, Fair and Green on 16 July 2019 – a high-level panel discussion that will explore how we can create an economic transition fast, fair and green enough to achieve the Sustainable Development Goals (SDGs) and Nationally Determined Contributions (NDCs).

The United Nations Environment Programme Finance Initiative (UNEP FI) is a strategic partnership between UN Environment and the global financial sector. UNEP FI works with approximately 220 banks, insurers and investors as well as a range of partners and organizations, to develop and promote linkages between the environment, sustainability and financial performance. Through its work-streams and regional activities, comprehensive work programme, training and research, UNEP FI carries out its mission to identify, promote, and realize the adoption of best environmental and sustainability practice at all levels of financial institution strategies and operations.

UNEP FI’s Banking Programme develops, implements and coordinates the work with our more than 140 banking members from over 50 countries. The official signing event of the Principles for Responsible Banking at UN headquarters New York 22 September 2019 for which 30+ CEOs, high-level guests are expected to attend.

The result of the services will be used to successfully support the Programme Officers of the Resources and Markets Branch to ensure that GGKP HLPF side event and UNEP FI Banking projects are running smoothly assisting them from an administrative perspective.

- Support with logistical arrangements for the GGKP Secretariat on the occasion of the HLPF Side Event – Fast, Fair and Green at UN headquarters New York 16 July 2019, particularly in ground preparation such participant registration to HLPF organisers, room and HR setup preparations and coordinating with participants, speakers, partners, focal points and UNEP comms, etc.

- Support with logistical arrangements for the UNEP FI Secretariat on the occasion of the Principles for Responsible Banking signing event at UN headquarters New York 22 September for which 30+ CEOs, high-level guests are expected to attend.

- Assistance will include having participants badged and accredited.

- Support in UNEP FI Programme and Administrative Staff for the collating, printing and distribution of branding material, which will be made available for participants, for the official signing event of the Principles for Responsible Banking. Assistance will include having documents printed and distributed.

- Support UNEP FI Administrative staff with by undertaking the reservations for the CEO networking lunch hosted by the new UNEP Executive Director, which will need to take place at a suitable venue in the immediate vicinity of the UN HQ on the 22 September 2019.
- Support provided to the FI Secretariat with Media accreditation undertaken and day to day communications including recording, streaming and audio-visual services for the room undertaken and booked at the UN Headquarters.

Specific tasks and responsibilities

The Individual Contractor will undertake the following tasks:

For the HLPF side-event meeting in July 2019:
o Logistics notes
o Ground contact sheet (document with all the contacts of partners and reps on the ground)

• Ground preparation
o Prepare and submit all requests, including stage setup, participant registration to HLPF organizers
o Room setup preparation - identify necessary IT equipment (i.e. display adapters), audio setup, slides including stage backdrop, nameplates, VIP seating, promo and branding materials in right place,
o HR setup preparation (giving roles to people on the ground, including ushers, VIP escorts, backup, etc.)
o Identify Plan B / emergency protocols (i.e. spare microphones, quick print solutions, ground emergency personnel contacts, first aid/AED location, lost and found, etc.)

• Coordination
o Email reminders to participants
o Emails to speakers, focal points and partners
o Invitation tracking
o Coordination with UNEP Comms / GGKP and event partners / photographer

For the launch of Principles for Responsible Banking in September 2019:
• Security and access:
o Assist UNEP FI Secretariat (Individual Contractors and staff) with badges and access to the UN Headquarters.
o Assist with badges for delegates to the launch event at the UN Headquarters.
o Assist and advise with processes to distribute badges prior to the event.
o Advise on all other security and clearance process required.

• Assist UNEP FI Secretariat with bringing branding and distribution materials into the UN Headquarters.

• Assist with booking recording, streaming and audio-visual services for the room booked at the UN Headquarters.

• Assist with booking lunch at either the delegates dining hall at the UN Headquarters or a venue nearby.

• Advise on procurement processes for lunch, printing and other services required for the launch event and lunch.

• Advise on media attendance, accreditation and security clearance processes for the event.

• Assist with on-site communications on the day.

Qualifications/special skills

Skills: The candidate needs to have a strong knowledge of UN procedures around procurement, events logistics and managing VIPs. Substantial familiarity with security procedures at UN headquarters is required. Knowledge of procedures for inviting and liaising with media at UN HQ is required. Thorough knowledge of conference facility logistics at UN HQ is required.

Academic Qualifications: University degree in international relations, administration, development, business, environment, communications or a related filed.

Experience: A minimum of five years of experience working at the United Nations, preferably at Headquarters in New York, is required. Experience managing UN procurement processes is required. A minimum of five years of experience in organizing/supporting the organization of high-level events is required. Experience in handling VIPs and managing the related protocols is required. Experience in liaising with media at the UN is required.

Language: English is the working language of UNEP FI. Knowledge of other United Nations languages is an asset.
