Result of Service

1. Efficient secretarial, administrative and logistics support provided to the organization of the twelfth meeting of the Basel Convention Open-ended Working Group;
2. Compilation of information, editing, formatting and distributing documents;
3. Professional communication with clients;
4. Efficient support provided to the programme managers coordinating the Open-ended Working Group meeting.

The contractor will work 6 months within the period of 8 January 2020 – 7 July 2020.

Duties and Responsibilities

Under the direct supervision of the Programme Officers, the incumbent has the following responsibilities:
1. Provides secretarial, administrative and logistics support to the twelfth meeting of the Open-ended Working Group of the Basel Convention.
2. Organizes meetings, teleconferences and briefings.
3. Compiles information, formats documents and assists in the preparation, production and distribution of meeting documents.
4. Supports the scheduling and organization of side events.
5. Supports recruitment of other support staff, such as interns.
6. Supports follow-up to the meeting, such as preparation of letters and follow-up requests, compilation of lessons learned, etc.
7. Assists in the maintenance of websites by scanning, converting and posting a variety of documents onto the site.
8. Researches, compiles and organizes information and reference materials from various sources for reports, work plans, studies, briefings, meetings/conferences, etc.
9. Produces a wide variety of documents and reports; proofreads documents and edits texts for accuracy, grammar, punctuation, style, and adherence to formatting standards.
10. Responds or drafts responses to routine correspondence and other communications; responds to information requests and inquiries and refers issues to appropriate staff member for handling.
11. Generates a variety of standard statistical and other reports using various databases; updates and maintains distribution lists.
12. Performs other duties as assigned.

Qualifications/special skills

Academic Qualifications: High school diploma or equivalent is required. Additional formal training in office tools such as word processors and spreadsheets desktop applications is an asset.
Experience: A minimum of three (3) years of work experience in the area of general office support, including organizing secretariat, administrative and logistics support to meetings, editing and formatting of documents, data entry and extraction, tracking large number of correspondence, and correspondence with meeting participants.
Language: English and French are the working languages of the United Nations Secretariat. For this post, fluency in oral and written English is required. Working knowledge of another UN language is an advantage.
