Cadre organisationnel

The position is located in the United Nations Development Operations Coordination Office (UNDOCO) and reports to the Chief of Staff, DCO.

Responsabilités

Within delegated authority, the incumbent will be responsible for the following duties:

• Provides programme coordination support to the Office of the ASG (OASG) in supporting the preparation of the Executive and Deputies Committee meetings, Senior Management Team meetings, monthly Resident Coordinator webinars and UNSDG briefings as relevant;
• Supports UNDOCO Management Team in designing and managing a tracking tool for Executive Committee and Deputies Committee decisions across the UNSDG and actively does quality assurance and follow-up on decisions;
• Manages communications to Resident Coordinators and the United Nations Sustainable Development Group (UNSDG);
• Researches, compiles, analyses, summarizes, and presents basic information/data on wide range of sustainable development issues within the UN and topics related to the mandate of UNDCO, highlighting noteworthy issues/trends for consideration by appropriate parties.
• Creates and maintains contact databases and mailing groups within DCO and with the UNSDG:
• Tracks resolutions and other legislative decisions that affect policy content and oversees the preparation of the relevant database(s) to ensure the incorporation of programmatic and other changes enacted by legislation.
• Serves as the knowledge management focal point for UNDCO, managing systems within the OASG and with regional teams;
• Supports the management of corporate retreats and large-scale events with both UNDCO and RC system;
• Coordinates secretariat support for activities of the UNSDG and its working arrangements.
• Directs the information flow and supports knowledge management in OASG jointly with the Programme Management Assistant of the ASG;
• Ensures high-quality substantive outputs while respecting confidentiality requirements.
• Supports resource mobilization efforts within the OASG;
• Provides assistance in editing and proofreading of host country agreements, budget agreements, or contributions for grants or other activities as appropriate.
• Identifies and resolves diverse issues/problems as they arise and determines appropriate actions.
• Coordinates extensively with service units and liaises frequently with internal team members both at Headquarters and in the field with particular attention to the support of the Resident Coordinator system (RC) and United Nations Country Teams (UNCT)
• Independently provides full range of support to UNDCO coordination and in the management and implementation assistance in the support of the Resident Coordinator’s system.
• Prepares newsletters on programme/project-related activities; drafts inputs for a wide range of documents/reports, briefings/debriefings, correspondence, etc.
• Serves as focal point with diverse organizational units to initiate requests; prepares standard terms of reference against programme/project objectives, obtains necessary clearances, processes and follows-up on administrative actions and resolves issues related to project implementation, e.g. recruitment and appointment of personnel, travel arrangements, organization of and participation in training/study tours, authorization of payments, disbursement of funds, procurement of equipment and services, etc.
• Provides secretariat services to other UNDCO committees, ad hoc tasks forces, etc.; drafts and circulates agenda notes to members/participants; assembles background documentation; drafts minutes of the meeting; monitors follow-up actions, etc.
• May undertake mission/field work in support of above activities, e.g. specific administrative, operational/control tasks for programme/project activities.
• Establishes internal databases; sets up, files, stores and manages data and information relevant to the scope of programme/project activities.

Compétences

Understanding of the functions and organization of the work unit and of the organizational structure and respective roles of related units. Ability to identify, independently assess, formulate recommendations and/or resolve a wide range of issues/problems, undertake research and gather information from standard sources and to work well with figures including ability to analyze and understand financial data. Ability to design information data bases from multiple sources into an integrated programme evaluation system. Ability to direct, supervise and train office support staff. Demonstrated ability to apply judgment in the context of assignments given and discretion, resourcefulness and ability to deal proactively and tactfully with offices throughout the organization. Formation

High school diploma or equivalent.

Expérience professionnelle

Ten years of experience in systems management, data, programme or project support and administration, technical cooperation or related area.
Experience in providing programmatic and executive support within the UN system is desirable.
Knowledge of data analytics tools such as Tableau, PowerBI and advance excel skills is desirable

Connaissances linguistiques

English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required. Knowledge of another official United Nations language is seirable
