Cadre organisationnel

These position is located in the Department of Operational Support (DOS), Division of Special Activities (DSA), Support Partnerships Service (SPS) Triangular Partnership Project (TPP). The Project is one of the outcomes of the September 2014 Summit on UN Peacekeeping, and aims to support the Rapid Deployment of Engineering Capabilities to peacekeeping missions in Africa. The Triangular Partnership comprises the United Nations, Donors/Contributing Member States and Beneficiary Troop Contributing Countries (TCCs). The incumbent reports to the Operations Manager or Training Coordinator.

Responsabilités

Within delegated authority, the Logistics Assistant will be responsible for the following duties:

•Coordinate logistics requirements and delivery, plant maintenance and serviceability including requests for supplies, and accounting for consumables such as fuels & oils. Serves as focal point for administrative coordination of project implementation activities, involving extensive liaison with project team to initiate requests, obtain necessary clearances, process and follow-up on administrative actions, e.g. recruitment and appointment of interpreters, travel arrangements, training/study tours, authorization of payments, disbursement of funds, procurement of equipment and services, etc.
•Supports project staff with respect to all aspects of major services contracts.
•Acts as focal point to produce project cost estimates.
•Maintains supporting files and database with respect to Letters of Assistance (LOA).
•Records contract actions and monitors activity. This includes coordinating with missions’ vendors on equipment rental on delivery schedules, follow-up and receipt of Receiving and Inspection (R&I) Reports, verification of invoices against R&I reports, recording contract status at all stages of processes.
•Provides general office assistance; responds to information request and inquiries; reviews, logs and routes incoming correspondence; sets up and maintains files/records such a s attendance records; organizes meetings, workshops and handles other routine administrative tasks.
•Maintains, updates and ensures accuracy and completeness of computer database recording requisition details, purchase orders, delivery and invoice actions.
•Assists in training activities such as the preparation of training materials.
•Assists in the management of petty cash receipts and expenditures.

•Performs other duties as required.

Formation

High school diploma or equivalent is required. Supplementary training in Transport Management or Business Administration from a recognized institution is highly desirable.

Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat. Successful passing of the Administrative Support Assessment Test (ASAT) in English at the United Nations Headquarters (UNHQ), Economic Commission for Africa (ECA), Economic and Social Commission for Western Asia (ESCWA), United Nations Office at Geneva (UNOG), United Nations Office at Vienna (UNOV), International Criminal Tribunal for Rwanda (ICTR) or International Criminal Tribunal for the former Yugoslavia (ICTY) may be
accepted in lieu of the GGST.

The GGST is administered to applicants when required before the administration of a written assessment and/or interview.

Expérience professionnelle

A minimum of five (5) years of progressively responsible work experience in Transport, Logistics or related area is required.
Computer application skills in MS Office, specifically in Word,Excel, and Access are desirable.

Connaissances linguistiques

English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is an advantage.

This position is available for an initial period of three (3) months, a limited duration that does not carry any expectancy, legal or otherwise, of renewal. If the selected candidate is a staff member from the United Nations Secretariat, the selection will be administered as a temporary assignment.

While this temporary assignment may provide the successful applicant with an opportunity to gain new work experience, the selection for this position is for a limited period and has no bearing on the future incumbency of the post.

Subject to the funding source of the position, the eligibility for this temporary job opening may be limited to candidates based at the duty station.

This temporary job opening may be limited to "internal candidates," who have been recruited through a competitive examination administered according to staff rule 4.16 or staff selection process including the review of a central review body established according to staff rule 4.15.Staff members of the United Nations common system organizations who will reach the mandatory age of separation or retirement within the duration of the current temporary need period are not eligible to apply.
