to complex logistical situations

Duties and Responsibilities

Under the Chief Life Support Unit, the General Supply Assistant, plans and defines major
essential LSU needs and service requirements by developing SOWs, TORs any other
documents required for the acquisition of goods and services to support customers at HQ and
the 32 locations in the Field.
Within the terms of organization's delegated authority and under the direct supervision of
Chief Life Support Unit, the Supply Assistant will undertake the following tasks and
General Supply: Contract Monitor, Budget Performance and Service Quality Control:
- Provide an uninterrupted Customer Service, timely and sound support to all 23 Regional
Offices within the Colombian Territory thought the provision of services of various service
- Proceeds to analyze demand trends prior providing feedback to the chief LSU to act on the
acquisitions of goods and service contracts though the development of SOWs and TORs to
initiate the POEs and Shopping Cart for the purchases of goods and services in respect to
Mission allotments under the UMOJA (SAP) environment.
- Receives Order Notifications from the Chief Life Support and Chief Service Delivery to
execute demands and orders coming from customers, verify entitlements and scales of issue,
prepares and organize the final delivery of goods and services through existing service
- Coordinates with LSU Inventory supervisor the implementation of General Supply Projects
regarding inventory controls to avoid over stock at HQ and perform physical inventory
controls at the HQ in Bogota.
- Accounts for all LSU Service contracts as well as to UN property e.g. serialized and nonserialized
materials controlled under the UMOJA ERP.
- Maintain permanent contact with the Chief Life Support to implement the Unit strategies in
terms of Contract Monitor and Budget Performance.
- Assist in the monitoring of budget allocation and contract management to serve as interface
and be enabling to detect financial and contractual shortfalls in service contracts and advise
the Chief Life Support to stablish corrective mesures.
- Takes the leadership in the preparation of Scope of Works (SOW) and TOR documents for
solicitations of various LSU projects in specific to service contracts.
- Monitor expiring dates of essential contracts and interacts with contractors in the resolution
of conflicts and propose remedies to improve service contracts.
- Perform the control of General Supply contracts Such as stationary, Office Furniture, Office
Equipment, Water Supply to Offices, UN System contracts.
- Proceed on bi- monthly basis with the suggested contractual performance reports for the
final approval of Chief Life Support Unit.
- Accounts for UN properties and materials under lease contracts and reflect accurate data in
LSU contract Excel spreadsheets when applicable.
- Receives requests from end users, verify entitlements and scale of issue, provides prompt
feedback to requester/customer and organizes the final delivery with the approved quantities.
- Is accountable tor UN services and UN properties in each Regional Office with correct and
accurate data in Umoja ERP.
Lead the development of the communication strategy to raise awareness about LSU
processes, services and
• Ensure implementation of communications strategy about LSU in the field by coordinating
efforts with RAOs.
• Produce and print campaigns, video tutorials, design layouts, edit copy, write drafts and
create content for email broadcasts.
• Distribute created content to common areas the mission with the intention to raise awareness
of LSU goods and services operations.
• Create multimedia content in English and Spanish for staff members to learn and maximize
utility of LSU services and work
• Lead Regional Communications efforts to raise awareness about LSU t by organizing and
coordinating field visits to all
regional offices.
• Prepare presentations for regional staff members, deliver key talking points, customer
service surveys, and training material
- Maintain accurate, reliable and auditable filing system to document all operations and
support to UNVMC entities.
- Responsible for the administrative control of LSU service contracts and acts as alternate
Contract Administrator in General Supply activities.
- Submit the weekly and monthly reports to the Chief Life Support Unit Other Logistics
Work implies frequent interaction with the following:
The Supply Assistant will require frequent interactions, primarily with; Chief Life Support,
Chief Service Delivery and Chief Supply Chain Management, Chief CITS, Chief ENG, and,
Executive Officers and Chief Mission Support, throughout the United Nations Headquarters,
Offices away from Headquarters (OAHs), and Peacekeeping Missions.

Qualifications/special skills

Academic Qualifications: High School diploma or Certification from a Technical School diploma.

University degree in Supply Chain, Business Administration, Industrial Engineer or related areas is considered an advantage.
Experience: The Supply Assistant will be required to have a minimum of four (4) years of
progressively responsible experience in supply management which covers; Customer Service,
inventory, logistics, procurement or Contract Management.
Language: • Fluency in English and Spanish is required.
