Result of Service

Timely and accurate support to Secretariat staff, interested Parties and others to access information, publications and documentation. Successfully performs the full range of office management and administrative support services at the Division level, working under minimal supervision. Effectively tracks, monitors and provides quality control of key deliverables. Effectively organizes and manages records and data. Discretely handles confidential material/matters. Appropriately applies relevant policies, guidelines, procedures and processes. Establishes effective working relationships with internal and external contacts at all levels.

Duties and Responsibilities

Organizational setting

The United Nations Environment Programme is the leading global environmental authority that sets the global environmental agenda, promotes the coherent implementation of the environmental dimension of sustainable development within the United Nations system and serves as an authoritative advocate for the global environment. At the 1992 Earth Summit in Rio de Janeiro, world leaders agreed on a comprehensive strategy for 'sustainable development'. The Convention on Biological Diversity was opened for signature in Rio in 1992. The Convention has three main objectives: the conservation of biological diversity, the sustainable use of its components, and the fair and equitable sharing of the benefits arising from the use of genetic resources. The Secretariat of the Convention on Biological Diversity (SCBD) is located in Montreal and is administered by United Nations Environment Programme. Its main tasks are to arrange for and service meetings of the Conference of the Parties, including preparation of pertinent documentation, operation of the central node of the clearing-house mechanism, liaison and coordination with other international bodies and processes and, in close collaboration with these partners, the provision of technical support for the effective implementation of the Convention.

Duties and responsibilities

The incumbent will report to the Documents Management Officer and the Senior Programme Management Officer, Capacity Building and Knowledge Management Unit and will perform the following duties:

Manage the stock of publications, keep records of distribution, and main information on stock level;
- Physically organize the stock of publications and prepare items for shipment;
- Assist in the processing of documents including data entry, cataloguing and indexing, as well as labeling documents for storage;
- Assist in the management of the databases (bibliographic and CBD documents);
- Assist in the development of the electronic library;
- Assist in the translation of documents

Qualifications/special skills

Competencies

Professionalism – Shows pride in work and in achievements; Demonstrates professional competence in the operation of a modern library or information centre; Good knowledge of library science/archiving.

Planning and Organizing - Ability to plan and organize activities, work to tight deadlines, handle concurrent requests, and manage conflicting priorities.

Client Orientation – Keeps library clients informed of progress or setbacks in library
programmes; Meets timeline for delivery of library products or services to clients.

Academic Qualifications: High school diploma or equivalent is required.

Experience: Minimum of two (2) years of work experience in administration or in a related field.

Languages: Fluency in oral and written English is required. Knowledge of other United Nations languages is an asset.
