Individual Contractor will support the Secretariat of the Minamata Convention, under the overall supervision of the Executive Secretary and the daily supervision of Senior Policy and Coordination Officer, in the implementation of the Secretariat’s programme of work for the period 2020–2021.

The United Nations Environment Programme (UNEP) is the leading global environmental authority that sets the global environmental agenda, promotes the coherent implementation of the environmental dimension of sustainable development within the United Nations system and serves as an authoritative advocate for the global environment. The Minamata Convention on Mercury is a global treaty to protect human health and the environment from the adverse effects of mercury. The Convention was adopted in Kumamoto, Japan in 2013 and came into effect in 2017. The Secretariat functions of the Convention are performed by the UNEP. This post is located in the Secretariat of the Minamata Convention in Geneva.
Under the direct supervision of the Senior Policy and Coordination Officer, the individual contractor will perform the following tasks:
1. Assists the Secretariat by performing a range of programme support functions for the team such as:
a) Monitors processes and schedules related to the Secretariat's outputs, products and tasks; where applicable; assists in the verification of receipt and accuracy of requisite documents, approvals, signature.
b) Proofreads and drafts correspondence documents and edits texts for accuracy, grammar, punctuation and style, and for adherence to established standards for format.
c) Assists in the preparation of meetings and presentation materials and appropriate technology/software.
d) Maintains calendar/schedules, monitors changes and communicates relevant information to appropriate staff inside and outside the immediate work unit.
e) Performs data entry and extraction functions.
f) Reviews, records, distributes and/or processes mail and other documents; follows-up on impeding actions.
g) Manages correspondences of the Secretariat’s mailboxes, and updates address books of National Focal Points, Permanent Missions to the UN in Geneva and Committee of Permanent Representatives to the UN Environment when required.
2. Provides a range of programmatic document management support, such as
a) Maintains files (both paper and electronic) and databases for the secretariat, especially with regard to National Focal Points, Article 21 national reporting, notifications of the Convention, and the Specific International Programme.
b) Updates and maintains distribution lists; monitors, prepares and distributes various materials, reports, where possible using electronic formats.
c) Provides programme assistance support for document preparation for the 4th Conference of Parties, the Implementation and Compliance Committee, and the Specific International Programme of the Minamata Convention.
Academic Qualifications: High school diploma or equivalent is required. Additional training in programme, project management, administration services, finance, procurement, human resources or related area, is desirable.
Experience: A minimum of three years of experience in programme / administrative services, e.g.
secretariat clerical, finance, programme assistance is required. Proficiency in Microsoft
applications is required.
Language: English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English is required. Knowledge of another official United Nations language is an advantage.
