Org. Setting and Reporting

This position is located in the Front Office of the Assistant Secretary-General (ASG) for the Office of Rule of Law and Security Institutions (OROLSI). The incumbent reports to the Special Assistant of the ASG. The Team Assistant will have additional reporting relationship with the Personal Assistant to the ASG.

Office of Rule of Law and Security Institutions (OROLSI) was established in 2007 to strengthen the links and coordinate the Department’s activities in the areas of police, justice and corrections, mine action and weapons/ammunition management, the disarmament, demobilization and reintegration of ex-combatants and security sector reform. Responsibilities

Within delegated authority the Team Assistant will carry out the following duties:
•Reviews and routes all incoming correspondence, including documents of highly confidential nature;
•Carries out quality control functions for outgoing documents; proofreads documents and edits texts for accuracy, grammar, punctuation and style, and for adherence to established formatting standards;
•Monitors the supply stock of the Front Office of the ASG and initiates the requisitioning of office equipment and supplies, follows up on outstanding orders and maintains records;
•Provides administrative and logistical support to meetings (e.g. by preparing background materials; booking rooms);
•Supports efforts to ensure that the Front Office effectively liaises with OROLSI components, the Department as a whole and other Departments, Member State representatives and partner organizations;
•Maintains files (both paper and electronic) and databases for the team;
•Develops and maintains the OROLSI shared drive;
•Assists in providing software and office equipment support; serves as IT focal point;
•Participates regularly in the evening duty roster.
•Performs other duties as assigned.

Education

High school diploma or equivalent.

Work Experience

Three years of experience in general administrative support functions or related area is required.
Experience working in the UN system is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For this post, fluency in oral and written English and French are required.

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Special Notice

This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules. All staff in the General Service and related categories shall be recruited in the country or within commuting distance of each office, irrespective of their nationality and of the length of time they may have been in the country. Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat. Priority consideration for this job opening will be given to the staff members of the United Nations Secretariat who serve in the duty station specified in the job opening, and hold a permanent, continuing or fixed-term appointment without service limitation to a specific entity or with service limitation to the entity advertising this position. Other candidates who are exceptionally considered and selected for this job opening may only be employed on the basis of a temporary appointment.

Staff members are subject to the authority of the Secretary-General and to assignment by him or her. In this context, all staff are expected to move periodically to new functions in their careers in accordance with established rules and procedures.
