Assistance is provided to the MAP Administration in order to contribute to the effective and efficient delivery of its mandate and programmes

The contract will be for a period of 4 months from the date of the last signature.
The United Nations Environment Programme (UNEP) is the United Nations system's designated entity for addressing environmental issues at the global and regional levels. Its mandate is to coordinate the development of environmental policy consensus by keeping the global environment under review and bringing emerging issues to the attention of governments and the international community for action. United Nations Environment Programme Ecosystems Division works with international and national partners, providing technical assistance and advisory services for the implementation of environmental policy, and strengthening the environmental management capacity of developing countries and countries with economies in transition. This Individual Contractor assignment is for the Mediterranean Action Plan (MAP) –Athens, Greece and is subject to local recruitment (the individual contractor will be recruited in the country, irrespective of his/her nationality and of the length of time he/she may have been in the country). Under the direct supervision of the Administrative/Fund Management Officer and the overall guidance of the Deputy Coordinator, the incumbent will provide general administrative services for the execution of the mandate and programmes of the MAP Barcelona Convention.
The aim of this individual contractor assignment is to fill in the gap in the staffing needs of the MAP by providing assistance to the MAP Administration in provision of general administrative services to the Programme of the MAP Barcelona Convention.
The Individual Contractor will provide the Administrative/Fund Management Officer for the following duties:
Performs a wide range of office support and administrative functions.
• Performs general administrative tasks (e.g., leave and attendance monitoring, overtime processing, organization of meetings and other events, reservations, budget follow-up, etc.), to include preparing and/or processing administrative requests/documents (e.g., requisitions, purchase orders, travel requests, contracts, expenditure authorizations, visa applications, etc.).
• Prepare documentation and obtain duty-free permits for UNEP equipment from the Ministry of Foreign Affairs and carry out custom clearances of UNEP property and equipment.
• Make arrangements for the shipment and receipt/sending of household effects upon arrival/departure of new staff members.
• Applies for and collect residence permit/UN ID cards for the staff visas from embassies for Staff when required.
• Assist in requisition by conducting market research, obtaining quotations from suppliers and maintenance services, compiling documentation including memos.
• Assist in the basic maintenance of office premises ensuring smooth and fast intervention of outside maintenance crew.
• Assist in the implementation of the office renovation in close collaboration with the MAP Office Renovation Task Force.
• Assist in the organization of meetings including assistance in transportation of equipment, proper packing of conference materials, setting up of conference rooms and offices, and in reproduction of documentation where required.
• Enter data on all incoming expendable and non-expendable UN property, acquisitions, disposals, transfers, deletions, and corrections and updates the Property Record Custodians database according to Departmental requests.
• Assist in processing of expense reports for meeting participants travel including collecting supporting documents.
• Drive the Coordinator, other staff and visitors, as required. Maintain logbook for recording information relevant to the car (kilometers, passengers, destinations, etc.) Provide required maintenance to the car.
• Assist the Meeting and Conference Assistant in keeping the log of translation needs/orders and reviewing the invoices received.
• Assist the Meeting and Conference Assistant in keeping record of Meeting Datasheet, Service Orders, and reconciling actual costs with the cost estimates and verifying whether the costs are charged to appropriate budget lines.
• Performs other duties as assigned.
Licenses & Certificates: A valid Driver’s License in Greece is required.
Academic Qualifications: High school diploma or equivalent is required. Formal trainings in general administration (human resources, finance, general services, etc.) and/or business administration are desirable.
Experience: Experience in general office support or related area is required. A minimum of 5 years of experience driving in Greece is desirable.
Language: English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English and Greek is required. Knowledge of another official United Nations language is an advantage.
