Cadre organisationnel

The Economic and Social Commission for Western Asia (ESCWA forms part of the United Nations Secretariat and, like the other regional commissions, operates under the supervision of the United Nations Economic and Social Council. ESCWA comprises 20 Arab countries in Western Asia and North Africa. ESCWA provides a framework for the formulation and harmonization of sectoral policies for member countries, a platform for congress and coordination, a home for expertise and knowledge, and an information observatory. ESCWA activities are coordinated with the divisions and main offices of the
Headquarters of the United Nations, specialized agencies, and international and regional organizations, including the League of Arab States and its subsidiary bodies, and the Gulf Cooperation Council.

This position is within the Reproduction and Document Distribution Unit (RDDU), Conference Management Services Section (CMSS), Resource Management and Service Development Division (RMSDD) of the Economic and Social Commission for Western Asia (ESCWA - The Assembly and Binding Equipment Assistant reports directly to the RDDU supervisor and will be under the overall supervision of the Chief of CMSS.


1.Assists in printing colored and black and white documents and meeting papers:
Assists in montage of received documents. Prepares polyester masters on the Plate Maker. Assists in printing documents and meeting papers on the printing machines (Heidleberg and Ryobi). Maintains and cleans the printing machines.

2.Assists in collating, cutting, gluing, folding, binding of documents and meeting papers:
Assists in collating the printed papers on the PA-t Bourg tower machine or manually. Staples all collated pages on the automatic stapler machine. Joins the covers to the documents on the gluing machine. Cuts paper to standard size for printing using the computerized Guillotone machine. Trims documents to established sizes. Punches documents and binds them with plastic or metal wires. Assists in finishing promotional materials by folding and gluing folders, pamphlets, newsletters, CD pockets and calendars.

3.Assists in carrying out various tasks in distributing regular ESCWA documents internally and externally:
Packs, straps and labels dispatches of documents by using different sizes of carton boxes or uses wrapping and shrinking machines. Chooses the adequate package: carton, envelope and/or plastic to match the weight and the size of each dispatch. Addresses and stamps each dispatch with related specific modalities and stamps, as per prevailing rules and regulations. Contacts the Registry Unit to pick-up prepared parcels and envelops ahead of time to allow Registry to organize Pouches. Prepares sets of documents for distribution during conferences, meetings, workshops, etc.

4.Assists in the safekeeping of documents and publications in the Distribution Sub-Unit:
Receives documents from the Print Shop at Warehouse No.1 (in B2), as per the Documents Control Form. Confirms quantities for each mailing list. Ascertains adequacy of the quantity reproduced against mailing list. Shelves additional publications quantities for further distribution on appropriate shelves. Shelves documents related to conferences and meetings in warehouse No.2 (in B1). Surveys availability of documents upon request. Rearranges shelves and documents to make room for newly produced documents. Maintains physical inventory of documents and publications.

5.Assists in keeping records and filing when required:
Filing control forms for each document (by division). Replenishes Document Distribution Sheet stationary stock ahead of time to avoid stationary shortage. Maintains computer records for the Daily Distribution Sheet of documents and parcels. Prepares address labels for all kind of dispatches.

High school diploma or equivalent.

Expérience professionnelle

A minimum of 3 years of diversified experience in all binding and finishing techniques to allow fast processing of documents is required.
Experience in operating Tower Collator, Polar Mohr Electronic Guillotine and Muller Martini Baby Pony 2116 Gluing Machine is required.
Experience in operating Stahl Tremat GMBH folding Machine, Agrafix Stapling Machine and Muller Martini Collating Machine is desirable.

Connaissances linguistiques

English and French are the two working languages of the United Nations Secretariat. Arabic is also a working language of ESCWA. For this post, fluency in Arabic is required. Knowledge of other UN languages is considered an asset.

Passing the Trades and Crafts Test (TCT) is a prerequisite for recruitment consideration for this position. Applicants who have not passed the Trades and Crafts Test (TCT) at the time of application may be invited for the test when they are short-listed for the job opening. Having passed the Global General Service Test (GGST) or the Administrative Support Assessment Test (ASAT) in English at the United Nations Headquarters, Economic Commission for Africa, Economic and Social Commission for Western Asia, United Nations Office at Geneva, United Nations Office at Vienna, International Criminal Tribunal for Rwanda or International Criminal Tribunal for the former Yugoslavia, may be accepted in lieu of the TCT per applicable eligibility guidelines.
