Cadre organisationnel

The incumbent of this post is responsible to both Deputy Director of UNRWA Operations-Programmes, P-5 & Deputy Director of UNRWA Operations- Support, P-5.

Responsabilités

In accordance with established Agency policy and procedures, the incumbent:

(A) Provides administrative assistance to both DDUOs in their day to day duties as required and provides direct assistance to DUO during the absence of PA/DUO;

(B) Arranges supervisors’ frequent missions, travel arrangements, briefing folders, visas and hotel reservations; provides long distance administrative support during travel and updates supervisors on matters requiring immediate attention;

(C) Receives, screens, logs and routes correspondences; researches and attaches necessary background information and maintains a follow up system for pending matters ensuring timely follow up on tasks assigned by his/her supervisors; brings urgent and pending matters to supervisors’ attention, and produces follow up reports;

(D) Deals with enquiries; screens visitors and telephone callers; arranges for meetings including booking of conference rooms for video conferences; liaises with government authorities, embassies and other UN organizations;

(E) Monitors annual and short-term requirements for office supplies and maintenance; collects information on office needs; prepares orders and keeps track of such requirements for budget preparation and monitoring purposes in coordination with Field Finance;

(F) Prepares special service agreement contracts and monthly attendance reports; translates documents from Arabic to English, as required;

(G) May attend supervisors' meetings, prepares minutes and/or summaries of meetings including LCP meetings and undertakes and monitors follow-up actions, when required;

(H) Performs such other duties as may be assigned.

Compétences

(i) Proficiency in standard Agency applications including MS Word, Excel, Access and other applications;

(ii) Flexibility and willingness to learn new skills through knowledge of modern office procedures;

(iii) Precision at work and careful with details;

(iv) Ability to research and summarize background material;

(v) Excellent organizational skills;

(vi) Ability to follow up on issues actively;

(vii) Sound judgment on importance and priority of issues.

Formation

A university degree in business administration, public relations or other related discipline;

Expérience professionnelle

Two years’ relevant experience, preferably in administration, and/or office management;

Connaissances linguistiques

Excellent command of spoken and written English and Arabic.

* Conditions of service
Monthly basic salary USD1259.4, payable in JD at UN monthly exchange rate, plus west bank allowance ILS1000 Payable in JD at UNRWA exchange rate Other benefits include:
•Provident Fund contribution (15.2% of basic salary paid by the Agency).
•Dependency allowances (if applicable).
•30 days of annual leave.
•Compulsory medical insurance.

* DESIRABLE QUALIFICATIONS
(i) Knowledge of the Agency’s rules and regulations;
(ii) Knowledge of other UN languages;
(iii) Prior experience with other United Nations Organizations.

* Equivalency:
When the minimum requirements are not fully met, Field Director for Field Area staff and Director of Human Resources for Headquarters Area staff, in consultation with the concerned supervisor may exceptionally substitute part of the unmet requirements with a combination of relevant academic qualifications, additional professional training and progressive relevant work experience.

NB: Work experience alone or formal qualifications with no relevant work experience are not considered an acceptable combination.
