Duties and Responsibilities

Created in December 1999, the United Nations Office for Disaster Risk Reduction (UNDRR) is the designated focal point in the United Nations system for the coordination of efforts to reduce disasters and to ensure synergies among the disaster reduction activities of the United Nations and regional organizations and activities in both developed and less developed countries. Led by the United Nations Special Representative of the Secretary-General for Disaster Risk Reduction (SRSG), UNDRR has over 100 staff located in its headquarters in Geneva, Switzerland, and in regional offices. Specifically, UNDRR guides, monitors, analyses and reports on progress in the implementation of the Sendai Framework for Disaster Risk Reduction 2015-2030, supports regional and national implementation of the Framework and catalyzes action and increases global awareness to reduce disaster risk working with UN Member States and a broad range of partners and stakeholders, including civil society, the private sector, parliamentarians and the science and technology community.

The Asia-Pacific region has made significant progress in reducing disaster impact, but disaster risks are still growing in scale and complexity. Occurring almost a third of the way through Sendai Framework implementation, the Asia Pacific Ministerial Conference for Disaster Risk Reduction (APMCDRR) represents an opportunity to pivot Asia-Pacific towards a more resilient future. The APMCDRR will be hosted by the Government from Australia from 19-22 September 2022.

The APMCMDRR will provide the space for stakeholders involved in disaster risk reduction in the region to stock take progress and challenges in the implementation of the Sendai Framework, particularly in the complex contexts brought by COVID-19.

The APMCDRR will focus on the urgent need to shift the balance from investing in response, to investing in prevention, risk reduction, anticipatory approaches and resilience. Participants will generate insights and share good practices to strengthen climate and disaster resilience and implement risk-informed development. The Conference will also highlight the experience of the region’s island and coastal communities, particularly in the Pacific, and will present options for local and inclusive solutions for coherent disaster risk reduction and climate change adaptation.

The discussions will result in the Brisbane Declaration outlining the region’s collective priorities for the next three years; the 2021-2024 Asia-Pacific Action Plan for the Implementation of the Sendai Framework, and Voluntary Commitments by stakeholders.

The Individual Contractor will support the planning, design and organization of the APMCDRR under the supervision of the Deputy Chief of office of the UNDRR regional office for Asia Pacific. The Individual Contractor will:

• Support the setup of a successful hybrid (virtual and in-person) high level meeting, preparatory events, side events and plenary sessions.
• Support following up on status of invitations, registrations, approvals and confirmations of attendees, speakers and other relevant stakeholders.
• Support the development of tools to track the progress in the organization of the conference, including roles and responsibility matrix, status of registrations, sessions design, speakers lists, preparatory and side events and high level plenaries.
• Produce updates on the progress in the organization of the conference and provide recommendations on the way forward, including updating timelines and suggesting corrective measures when needed.
• Provide assistance in developing relevant documents, including outcome documents, briefs of the sessions, concept notes, communication materials and other relevant documentation for the preparation of the conference.
• Support branding and communication and coordinate the dissemination of updates, notifications and alerts to participants, speakers and other relevant stakeholders.
• Support the organization of high level, ministerial events, including protocol and management of VIP attendees.

Qualifications/special skills

Academic Qualifications: First level university degree in Communications, Digital Production, Social Sciences, Event Management or related field.
Experience: Minimum five (5) years’ experience in the field of event planning, meeting coordination, communications, external relations or related area is required. Three years of experience in coordination and leadership of high-level meetings is desirable. Experience working with international organizations or UN is an asset.
Language: Fluency in English is required.
