The Contributions Assistant reports to the Contributions Officer, through Assistant Contributions Officer or Senior Contributions Assistant, as may be assigned.

Responsibilities

Updates, produces and maintains tables and graphs to display current pledges and contributions for distribution among internal and, as directed external, stakeholder;

Follows up with other External Relations and Communications Department (ERCD) divisions on the amounts received from donors (including on-line contributions) and provides Treasury with information on allocation of such amounts based on donor requirements; records grants and contributions and releases budget in SAP/ERP and ensures same are reflected on the ERCD on-line database; maintains records for the receipt of cash;

Updates and maintains records on receipts, multiyear agreements, clearing balances on SAP and closing MEMOs; follows up matters related to recording contributions with other ERCD’s divisions and Field Offices;

Prepares “Thank you letters”, “Official Receipts” and other forms, as required, for supervisor review; submits revised letter and receipt for signature, follows up for signed copies and originals and sends them as appropriate; shares copies of agreements and pledging letters with Finance;

Carries out regular admin duties including, photocopying, collating documents, dealing with routine inquiries, distributing mail, preparing daily outgoing mail and requesting stationary and office furniture; maintains the Contributions Unit’s filing system showing different pledges by year, donor and programme;

Gathers, collates and compiles information and data, as required;

Education

Post-secondary diploma of at least two years from an accredited education institution in business and office practice, information technology or related discipline.

Work Experience

At least five years relevant experience, preferably in donor relations within an official aid setting and public relations (Required)

Post-secondary diploma of at least two years in business and office practice, information technology or related discipline (Required)

Prior experience with a UN organization, NGOs, or donor government (Desirable)

Type of Contract: Fixed Term Appointment

Duration of Contract: 3 years including 1 year probation period, with the possibility of further extension, subject to the availability of funds, satisfactory performance and continuing need.

The contributions Assistant may be requested to work after working hours or on weekends as necessary.
