Org. Setting and Reporting

This position will be temporarily vacant for a period of three months. This position is located in the Policies for Sustainable Development Unit, Sustainable Development and Human Settlements Division. The Programme Management Assistant reports to the Chief of the Unit.

Responsibilities

Under the overall supervision of the Chief of the Unit, the Programme Management Assistant will be responsible for the following duties:

•Provides assistance in support of planning and implementation activities/processes for the secretariat programme and project initiatives.
•Researches, compiles, analyses, summarizes, and presents basic information/data on specific programmes/project and related topics for the secretariat.
•Assists in the coordination of the secretariat’s programme/project planning and preparation and calendar of meetings; monitors status of programme/project proposals; takes necessary action to ensure project documents are completed and submitted to relevant parties for approval.
•Assists in the preparation and analysis of programme/project budget proposals for the secretariat; provides assistance in the interpretation of budget guidelines; reviews and coordinates submissions of programme proposals and budget estimates, ensuring that requisite information is included and justified in terms of proposed activities; propose adjustments as necessary; prepares reports and ensures that outputs/services are properly categorized.
•Assists in the monitoring and evaluation of programmes/projects; categorizes, updates, tracks and analyses data related to programmes/projects; carries out periodic status reviews, identifies issues and initiates requisite follow-up actions; prepares revised budget estimates; reports on budget revisions, expenditures and obligations, verifies availability of funds; ensures necessary approval and entry in computerized budget system; initiates financial authorizations for expenditures.
•Prepares a variety of reports, presentations, tables, lists, charts, data sets, and/or diagrams for information in order to facilitate the in-depth analysis of the retrieved information by the supervisor and other users.
•Provides substantive and administrative support in managing priorities and work flow of the secretariat; coordinates and monitors multiple and diverse activities and work processes.
•Drafts correspondence and communications related to all aspects of programme/project administration, including work plan and budgets, revisions and other related issues, as well as prepares unit contributions for a variety of periodic reports.
•Manages, updates and further develops internal databases; updates website; generates a variety of standard and non-standard statistical and other reports from various databases, including the secretariat’s clearinghouse.
•Facilitates and supports staff with administrative actions and performs other related programme and administrative duties, as required.
•Collect and analyze data to identify trends or patterns and provide insights through graphs, charts, tables, and reports using data visualization methods to enable data-driven planning, decision-making, presentation and reporting.

•Client Orientation: Considers all those to whom services are provided to be “clients” and seeks to see things from clients’ point of view; establishes and maintains productive partnerships with clients by gaining their trust and respect; identifies clients’ needs and matches them to appropriate solutions; monitors ongoing developments inside and outside the clients’ environment to keep informed and anticipate problems; keeps clients informed of progress or setbacks in projects; meets timeline for delivery of products or services to client.

Education

High school diploma or equivalent is required.

NOTE: For positions in the General Service category, candidates are required to clearly indicate in their Applicant Profile (AP) relevant information confirming completion of High School.

Work Experience

At least seven years of experience in programme or project administration, technical cooperation or related area is required.

Experience in organization of international conferences, workshops, meetings, and training seminars/study tours, including travel arrangements for participants, is required.

Experience in working for an international organization is required.

Experience in using Enterprise Resources Planning (EPR) system, such as SAP, for low value acquisitions purchase orders and services of consultants and individual contractors is required.

Experience in monitoring and evaluation systems for project management and performance is desirable.

Experience in data analytics or related area is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For this position fluency in English and Spanish (both spoken and written) is required. Knowledge of French or another UN official language is desirable.

NOTE: ‘Fluency’’ equals a rating of ‘’fluent’’ in all four areas (speak, read, write, and understand)

- This position will be temporarily vacant for a period of three months.
- While this temporary assignment may provide the successful applicant with an opportunity to gain new work experience, the selection for this position is for a limited period and has no bearing on the future incumbency of the post.
- Appointment for positions in the General Service category is done on a local basis. Applicants shall be recruited in the country or within commuting distance of the office, irrespective of nationality and length of time the candidate may have been in the country.
