This post is located in the Security and Safety Service New York which is responsible for providing security to delegates, staff, visiting dignitaries and other visitors. Under the overall supervision of the Chief of Security, the Programme Management Assistant is required to provide programmatic support to the Office of the Chief, and directly to the Chief of Service.

Under the overall supervision of the Chief of Service, the Programme Management Assistant is responsible for the following duties:
• Assists in the coordination of programme/project planning and preparation work for the Security and Safety Service New York of the departmental programme/project initiatives; monitors status of programme/project proposals and receipt of relevant documentation for review and approval by the Office of the Chief of Service.
• Compiles, summarizes, and presents basic information/data on specific programmes/project and related topics or issues (such as Security Risk Assessments, Investigations, Security Operations Plans for major events like UN General Assembly and Commission on Status of Women (CSW), itineraries of visiting Heads of State and dignitaries.).
• Reviews project documents especially cost plans/budgets, for completeness and compliance with relevant rules and procedures prior to submission for final approval and signature; identifies inconsistencies; distributes project documents to relevant parties upon approval.
• Reviews budget revisions; verifies availability of funds; ensures necessary approval by the Chief of Service.
• Liaises with the Division of Headquarters and Security Service, other duty stations and Event Security Coordinators on external conference arrangements.
• Serves as focal point for administrative coordination of programme/project implementation activities, involving extensive liaison with a diverse group of stakeholders within and outside Secretariat to initiate requests, obtain necessary clearances, process and follow-up on administrative actions e.g. in regard to security arrangements for external conferences.
• Liaises with Host Country Law Enforcement Agencies (NYPD, FBI, Secret Service, FDNY), UN Missions on behalf of the Chief of Security to schedule meetings, provide information and coordinate arrangements for major events at Headquarters.
• Compiles, summarizes and enters data on project delivery; drafts related status reports, identifying shortfalls in delivery, budget overruns, etc., and brings to the attention of the Chief of Service.
• Collect and analyze data to identify trends or patterns and provide insights through graphs, charts, tables and reports using data visualization methods to enable data-driven planning, decision-making, presentation and reporting
• Prepares and updates periodic reports, briefing notes, graphic and statistical summaries, operational tracking spreadsheets, etc.
• Provides general office assistance; responds to complex information requests and inquiries; reviews, logs and routes incoming correspondence; sets up and maintains files/records; organizes meetings, workshops; handles routine administrative tasks, such as maintaining attendance records, assessing telephone billing, etc.
• Provides guidance/training to new/junior staff.
• Performs other duties as assigned.

High school diploma or equivalent is required.
A minimum of five (5) years of experience in programme administration, administration, general office support or related area is required.
Experience with MS Office (Excel, Word, Powerpoint, etc.) is required.
Experience drafting and editing correspondence and meeting notes is required.
Experience working with member states and senior officials is desirable.
Experience in data analytics or management and organization of data is desirable.
Experience handling confidential communication is desirable.
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is a desirable.
Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
• This temporary job opening is advertised to fill a vacant position during the absence of the regular incumbent and is currently available for 364 days with possibility of extension through 31 December 2023.
