Cadre organisationnel

The Economic and Social Commission for Western Asia (ESCWA unescwa.org) forms part of the United Nations Secretariat and, like the other regional commissions, operates under the supervision of the United Nations Economic and Social Council. ESCWA comprises 20 Arab countries in Western Asia and North Africa. ESCWA provides a framework for the formulation and harmonization of sectoral policies for member countries, a platform for congress and coordination, a home for expertise and knowledge, and an information observatory. ESCWA activities are coordinated with the divisions and main offices of the Headquarters of the United Nations, specialized agencies, and international and regional organizations, including the League of Arab States and its subsidiary bodies, and the Gulf Cooperation Council.

The Team Assistant will report to a Cluster Leader or her/his designated Officer.

Responsabilités

Within delegated authority, the Team Assistant will be responsible for the following duties:
1. Performs a wide range of office support and administrative functions.
2. Responds or drafts responses to routine correspondence and other communications; uses standard word processing package to produce a wide variety of large, complex documents and reports.
3. Monitors processes and schedules related the unit’s outputs, products, tasks, etc.; where applicable, assists in the verification of receipt and accuracy of requisite documents, approvals, signatures, etc. to ensure compliance with relevant legal, financial and other requirements.
4. Researches, compiles and organizes information and reference materials from various sources for reports, work plans, studies, briefings, meetings/conferences, etc.
5. Generates a variety of standard statistical and other reports, work orders, etc., using various databases.
6. Performs related transactions on Umoja, the UN Secretariat's Enterprise Resource Planning (ERP) system.
7. Proofreads documents and edits texts for accuracy, grammar, punctuation and style, and for adherence to established standards for format.
8. Screens phone calls and visitors; responds to moderately complex information requests and inquiries (e.g. answers requests requiring file search, etc.), and as necessary, refers inquiries to appropriate personnel for handling.
9. Provides secretarial, administrative and logistics support to meetings, boards, committees, conferences, etc.
10. Assists in the maintenance of websites by scanning, converting and posting a variety of documents onto the site.
11. Assists in the preparation of presentation materials using appropriate technology/software.
12. Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate staff inside and outside the immediate work unit.
13. Performs data entry and extraction functions.
14. Reviews, records, distributes and/or processes mail and other documents; follows-up on impending actions.
15. Updates and maintains large distribution lists; monitors, prepares and distributes various materials, reports, where possible using electronic formats; handles arrangement for printing and translation as necessary; coordinates shipment arrangements, courier services, etc.
16. Performs general administrative tasks (e.g. leave and attendance recording, arrangements for meetings and other events, reservations, budget follow-up, etc.), to include preparing and/or processing administrative requests/documents (e.g. requisitions, purchase orders, travel requests, contracts, expenditure authorizations, visa applications, etc.).
17. Maintains files (both paper and electronic) and databases for work unit.
18. Assists in providing software and office equipment support.
19. Provides guidance to less experienced staff on general office processes and procedures, computer applications, etc.
20. Performs other duties as assigned.

Formation

High school diploma or equivalent is required.

Expérience professionnelle

At least three years of experience in general office support or related area is required.

At least one year of experience processing transactions in an Enterprise Resource Planning System (ERP) is desirable.

Connaissances linguistiques

English and French are the working languages of the United Nations Secretariat; and Arabic is a working language of ESCWA.
For this position, fluency in English is required and fluency of Arabic is desirable.

Note: "Fluency" equals a rating of 'fluent' in all four areas (speak, read, write, and understand) and Knowledge of" equals a rating of 'confident' in two of the four areas.

Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat. Applicants who have not passed the GGST at the time of application may be invited for the test when they are short-listed for a job opening. Having passed the Administrative Support Assessment Test (ASAT) in English at the United Nations Headquarters, Economic Commission for Africa, Economic and Social Commission for Western Asia, United Nations Office at Geneva, United Nations Office at Vienna, International Criminal Tribunal for Rwanda or International Criminal Tribunal for the former Yugoslavia may be accepted in lieu of the GGST per applicable eligibility guidelines.

• Appointment or assignment against this position is for an initial period of one year. The appointment or assignment and renewal thereafter is subject to the availability of the post or funds, budgetary approval, extension of the mandate and satisfactory performance.
•This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules. All staff in the General Service and related categories shall be recruited in the country or within commuting distance of each office, irrespective of their nationality and of the length of time they may have been in the country. A staff member subject to local recruitment shall not be eligible for the allowances or benefits exclusively applicable to international recruitment.
