Org. Setting and Reporting

This position is located within the United Nations Investigative Team to promote accountability for crimes committed by Da'esh / ISIL (UNITAD). The Logistic Assistant at this level work in the areas of supply and transportation and will report to the Administrative Officer in the Mission Support Centre in Erbil.

UNITAD was established by the Secretary-General pursuant to Security Council resolution 2379 (2017), according to which it is mandated to support domestic efforts to hold ISIL (Da'esh) accountable by collecting, preserving and storing evidence in Iraq of acts that may amount to war crimes, crimes against humanity and genocide committed by ISIL (Da'esh) in Iraq.

Responsibilities

Within delegated authority, the Logistics Assistant will be responsible for the following duties:
Supply:
• Supports more senior staff with respect to all aspects of major services contracts.
• Maintains database used by field mission to monitor mission specific and Systems Contracts reports.
• Acts as focal point for the production of field mission cost estimates.
• Maintains supporting files and updates the database shared folders with all necessary related contracts and invoices
• Controls and manages supply related items requisitioning and delivery.
• Records contract actions and monitors activity. This includes coordinating with missions on delivery schedules, follow-up and receipt of Receiving and Inspection (R&I) Reports, verification of invoices against R&I reports, recording contract status at all stages of processes.
• Manages and maintains records of the procurement thresholds set for each contract.
• Initiates requisitions when required, records deliveries, progressive funding and expenditures, liaises with missions on receipts and associated actions.
• Serves as a focal point for inventory and physical verification for all assets at office

Transport
• Manages and maintains records of the direct provisioning process.
• Establishes and maintains relevant reference library.
Co-ordinates and monitors all invoices related to the re-filling fuel for vehiclesCo-ordinates with missions on spare parts consumption rates and usage patterns.General
• Prepares Shopping Carts and Service Entry Sheets in Umoja system .
• Reviews cost estimates for input into budget formulation.
• Monitors budget estimates and reports on funding allocations.
• Maintains, updates and ensures accuracy and completeness of computer database recording requisition details, purchase orders, delivery and invoice actions.
• Familiarizes new staff with respect to work requirements and applicable UN guidelines and office procedures. Support staff with the issuance or renewal of residency permits.
• Performs other duties as required.

Education

High school diploma or equivalent is required.

Work Experience

A minimum five years of experience in supply management, contracts administration, logistics or related area is required.

Experience in General Administration is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English and Kurdish is required. Knowledge of Arabic language is desirable.

NOTE: ''Fluency'' equals a rating of ''fluent'' in all four areas (read, write, speak, understand) and ''Knowledge of'' equals a rating of ''confident'' in two of the four areas.

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
