Cadre organisationnel

This position is located in the Arabic Desktop Publishing Unit (SDPU), Multilingual Technology Section (MTS), Languages Service, Division of Conference Management, United Nations Office at Geneva. The incumbent will report to the Chief of the Multilingual Technology Section.

Responsabilités

Within limits of delegated authority, under the supervision of the Chief of the Multilingual Technology Section, the Senior Editorial and Desktop Publishing Assistant (Supervisor) will be responsible for the following duties:
- Adopts and modifies working methods and procedures in the framework of ongoing modernization processes, including the Global Terminology, Reference and Translation Solutions (gText) project;
- Ensures that modified workflows are designed and implemented according to rigorous and transparent standards that reflect the language-specific operational needs of the unit and are supported by systematic training;
- Ensures effective transition to new workflows while maintaining delivery of existing unit products by sharing information and supporting full participation in workflow reviews;
- Supervises the daily activities of the unit with respect to desk-top publishing and archiving of United Nations documents to the Official Document System; establishes priorities, issues special instructions as needed for the production of camera-ready documents for reproduction and storage of final text;
- Oversees programming of work unit; distributes assignments, ensuring efficient and effective processing of documentation and an equitable distribution of work;
- Confers and collaborates with other language units in order to maximize resources; this includes identifying statistical charts, diagrams and charts for utilization by other units;
- Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making;
- Assists with visualizations and updating information material such as web pages or brochures.
- Supervises the staff of the unit by identifying and resolving issues, monitoring staff performance, participating in and overseeing staff training, in particular regarding the verification of the alignment of bitexts to support the production of high-quality documentation, establishing weekly rosters of daytime, after-hours and weekend work shifts, as needed;
- Completes e-Performance evaluations for unit staff as First and/or Second Reporting Officer;
- Performs administrative work, including the maintenance of daily statistics. Prepares, compiles and submits statistical reports on capacity-planning, overtime, productivity and other reports;
- Trains staff to perform other modified desktop publishing functions such as in the area of pre-processing or pre-formatting of documents;
- Oversees the updating and maintenance of unit macros, templates and models;
- Rotates on daytime, after-hours and weekend work shifts, as needed;
- Acts as a hiring manager for recruitment activities;
- Stays available for overtime and on-call assignments
- Works towards increased collaboration across languages between the desktop publishing units.

Formation

High school diploma or equivalent is required. Additional formal training in desktop publishing or a related field is desirable.

Expérience professionnelle

Ten (10) years of experience in desktop publishing or a related field, including copy editing, formatting, proofreading and creating typographical layouts, is required.

Out of these, three (3) years of experience within the United Nations Common System or similar international organizations is desirable.

Experience supervising a team is required.

Experience in the workflow processes and tools of the Languages Service of the United Nations Office at Geneva or of that of a similar international organization is desirable.

Connaissances linguistiques

English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in Arabic, which must be the candidate's main language, is required. Knowledge of English or French is required, and knowledge of the other is desirable. Knowledge of another official United Nations language (Chinese, Russian or Spanish) is desirable.

This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules. All staff in the General Service and related categories shall be recruited in the country or within commuting distance of each office, irrespective of their nationality and of the length of time they may have been in the country.
