Duties and Responsibilities

The United Nations Environment Programme (UNEP) is the leading global environmental authority that sets the global environmental agenda, promotes the coherent implementation of the environmental dimension of sustainable development within the United Nations system and serves as an authoritative advocate for the global environment. The Energy and Climate Branch (ECB), located within the Industry and Economy Division, supports developing countries to improve energy efficiency and increase use of renewable energy as part of their efforts to achieve low-carbon and climate-resilient development pathways. It does so by providing guidance on sound policy, technology and investment choices, and by facilitating knowledge generation and sharing, capacity building, peer learning and through technical assistance to developing countries.

Under the guidance and supervision of the FMO, the IC will:

1. Assist in reviewing all legal agreements, including MoUs, SSFAs, PCAs, Donor Agreements, UN to UN agreements, ensuring all regulations and rules are followed and submissions are accurate. Working directly with Program Officers and liaising directly with the Legal team where necessary;
2. Act as a contact between UNEP and Implementing Partners to support Legal Agreement creation;
3. Maintain excel-based grants tracker, and provide technical support where necessary;
4. Work with Program Officers, the FMO, and financial assistants, create submissions in the Partnership Portal, and follow through the process of inputting contracts, ensuring IP details are in line in all systems;
5. Assist with the issuing of payments, monitoring and recording expenditures from executing partners against budget allocations;
6. Maintain the branch database for all legal instruments;
7. Follow up on Grants Management Database on a monthly basis to ensure timely management of outstanding agreements;
8. Assist in maintaining and keeping up-to date electronic files for all contracts and Projects in support of Audit 2023;
9. Provide ad hoc support to the administrative team.

Qualifications/special skills

Completion of secondary education or equivalent is required.
3 years of experience in administration of UN financial documents and contracts.
Excellent computer skills using SAP (Umoja), Excel, MS Office Suite and database software.
Excellent organizational skills and attention to detail; ability to work as part of a team.
Background in finance is an asset.

Languages

English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is an advantage.
