Org. Setting and Reporting

This internship is located in the Division of Administration, Geneva, and is under the supervision of the Chief of the Financial Resources Management Service or the internship supervisor, as appropriate. This internship is proposed from 15 July 2017 to 15 September 2017.

The Financial Resources Management Service is actively working to re-engineer key business processes. This review is to help prepare for a larger service delivery project currently underway and to also support FRMS to prepare for “SMART” workspace plans once the renovation project for the Palais des Nations is complete. The specific aim of this assignment is to document the current flow of paper financial documents and to help develop plans for the Finance Service to move towards a real paperless office. Benefits realised will include reduced paper archives and at the same time ensuring a full compliance with the records management policies of the United Nations.

The internships are UNPAID and full-time. Interns work five days per week under the supervision of a staff member in the department or office to which they are assigned.

Responsibilities

Within delegated authority, the intern will be responsible for the following duties:

- Assist in conducting a review of the different business processes in FRMS with the help of existing SOP or with discussions with the concerned staff members.
- Assist in analyzing the documents workflow within FRMS and with other services and/or entities, exploring ways to use the currently available electronic tools.
- Assist in drafting report on the paper use in the service (i.e. what needs to be printed and why, what needs to be saved or archived and in what format).

Education

To qualify for an internship with the United Nations Internship Programme, the following conditions must be met:

- Applicants must meet one of the following requirements:
a) Be enrolled in a graduate school programme (second university degree or equivalent, or higher); or
b) Be enrolled in the final academic year of a first university degree programme (minimum Bachelor's level or equivalent); or
c) Have graduated with a university degree and, if selected, must commence the internship within a one year period of graduation.

- Be computer literate in standard software applications;

- Have demonstrated keen interest in the work of the United Nations and have a personal commitment to the ideals of the Charter; and

- Have a demonstrated ability to successfully interact with individuals of different cultural backgrounds and beliefs, which include willingness to try and understand and be tolerant of differing opinions and views.

Work Experience

Applicants are not required to have professional work experience for participation in the programme.

Languages

Fluency in one of the working languages of the UN Secretariat, English or French, (both oral and written) is required; knowledge of the other is desirable. Knowledge of another UN official language is an advantage
