This temporary position, is available from 1 February through 31 December 2018 with possibility of extension. Appointment and its extension is subject to Extension of the mandate and the availability of the funds. Staff members are subject to the authority of the Secretary General and to assignment by him or her. In this context, all staff are expected to move periodically to new functions in their careers in accordance with established rules and procedures. Recruitment for this position is done on a local basis. Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Service category in the United Nations Secretariat. Having passed the Administrative Assessment Support Test (ASAT) in English at Headquarters, ECA, ESCWA, UNOG, UNOV, ICTR, or
ICTY may be recognized in place of the GGST, pending confirmation of validity.
Notes: • Upon separation from service, including, but not limited to, expiration or termination of, or resignation from, a fixed-term, continuing or permanent appointment, a former staff member will be ineligible for re-employment on the basis of a temporary appointment for a period of 31 days following the separation. In the case of separation from service on retirement, a former staff member will be ineligible for re-employment for a period of three months following the separation. This equally applies, mutatis mutandis, with respect to a former or current staff member who has held or holds an appointment in another entity applying the United Nations Staff Regulations and Rules and who applies for a temporary position with the Secretariat. • Retirees above the mandatory age of separation who wish to be considered for the current temporary job opening must indicate the reason for their last separation as "retirement." Org. Setting and Reporting

The post is located in the Office of the Director, Technical Cooperation Unit - DSPD/DESA. The Team Assistant (G4) reports to Chief of the Technical Cooperation Unit and to one or more officers on a rotating basis. DSPD Technical Cooperation Unit provides an interface between global policies and national action, and between research and policy formulation, thereby translating international agreements into strategies at the country level and feeding experiences gained from the country level to the intergovernmental policy development process through internationally-agreed plans and programmes of action.

Responsibilities

Within limits of delegated authority the Team Assistant is responsible for the following duties: •Performs a wide range of office support and administrative functions. •Responds or drafts responses to routine correspondence and other communications; uses standard word processing package to produce a wide variety of large, complex documents and reports.• Monitors processes and schedules related the unit's outputs, products, tasks, etc.; where applicable, assists in the verification of receipt and accuracy of requisite documents, approvals, signatures, etc. to ensure compliance with relevant legal, financial and other requirements. •Researches, compiles and organizes information and reference materials from various sources for reports, work plans, studies, briefings, meetings/conferences, etc.• Proofreads documents and edits texts for accuracy, grammar, punctuation and style, and for adherence to established standards for format. •Responds to moderately complex information requests and inquiries (e.g. answers requests requiring file search, etc.), and as necessary, refers inquiries to appropriate personnel for handling. •Provides secretarial and, administrative support to meetings and conferences, etc. •Assists in the maintenance of websites by scanning, converting and posting a variety of documents onto the site. •Assists in the preparation of presentation materials using appropriate technology/software. •Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate staff inside and outside the Technical Cooperation Unit. •Reviews, records, distributes and/or processes mail and other documents; follows-up on impending actions. •Assists the Programme Assistant in the preparation and analysis of programme/project budget proposals; provides assistance in the interpretation of budget guidelines; reviews and coordinates submissions of programme proposals and budget estimates, ensuring that requisite information is included and justified in terms of proposed activities; propose adjustments as necessary; prepares reports and ensures that outputs/services are properly categorized. •Assists in the monitoring and expedition of programme/project implementation activities, including recruitment and appointment of personnel, travel arrangements, organisation of and participation in training/study tours, authorization of payments, disbursement of funds, procurement of equipment and services, etc. •Performs general administrative tasks (e.g. arrangements for meetings and training workshops, reservations, budget follow-up, etc.), to include preparing and/or processing administrative requests/documents (e.g. requisitions, purchase orders, travel requests, contracts, expenditure authorizations, visa applications, etc.).•Maintains files (both paper and electronic) and databases for work unit. •Performs other duties as assigned.

Education

High school diploma or equivalent. Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Service category in the United Nations Secretariat.

Work Experience

A minimum of three years of experience in administrative services, finance, human resources or related area is required. Familiarity with the travel module and consultancy module of UMOJA is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of Russian or Spanish is desirable.

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
